Microsoft 365 is the most popular productivity suite, which offers a broad range of powerful apps and services. However, in many cases, it is deployed with either minimal or no training, with users expected to pick it up and learn as they go. They may do this by working out how to complete tasks either by themselves or from each other. While they will be able to use the core functionality (sending emails, using Teams chat, etc.) they will almost certainly miss features and capabilities that could really benefit them, their teams and the wider business.

If your organisation has invested significant resources, time and money in the deployment of Microsoft 365, it should make sense that you would want to maximise its usage and effectiveness. However, this typically cannot be achieved through user self-learning; additional help and support is required to maximise knowledge and achieve productivity benefits.

However, before embarking on a training or change programme, it is essential that you understand how staff are currently using Microsoft 365, and equally importantly, how they feel about using it to get their work done. Only then can you develop a customised training and support programme that will resonate with staff, and be effective across the varying levels of skills and confidence within your organisation. What does this accelerator cover?

The Microsoft Skills Audit accelerator is a self-contained project to start your journey into a full user adoption programme. Within the context of this project, we will:

  1. Review the existing technical usage analytics held within Microsoft 365 to identify patterns and trends in the technology’s usage. It will also help to identify any areas where users may be facing challenges using the available tools and apps.
  2. Design a comprehensive skills survey to be issued to all staff. This will identify what they know, how they use apps and tools, and how effective they find them in getting their job done.
  3. Deliver a report that will identify ways you can kick-start your training and communications programme, and understand how adoption of Microsoft 365 applications can improve productivity, collaboration and communication both internally and with your partners.
  4. Develop a dashboard that visualises the results of the skills and knowledge survey as a baseline, allowing you to measure the effectiveness of training activities and identify future training requirements.

Step 1 - Skills Survey

  • Discovery workshop to review your existing deployment, training and any previous understanding of usage of Microsoft 365.
  • Design and agree contents of a Skills Survey to be completed by your staff.

Step 2 - Analytics Review

  • Review your Adoption Score, Microsoft 365 Usage reports and any other enabled analytics to assess usage and adoption of the available tools.

Step 3 - Adoption Plan

  • Using the results of the Skills Survey and Analytics Review, identify any short-term beneficial actions and develop a longer-term adoption plan.
  • Develop a Survey Dashboard to visualise the baseline survey results which can be used to demonstrate improvements delivered by an adoption programme.
